- Introduction
Welcome to BGC Dawson (Dawson Community Centre). By accessing or participating in our programs, events, and activities, you agree to abide by these Terms and Conditions and our Programs Policies. If you do not agree to these terms and policies, you may not participate in our programs, events, or activities.
- Programs, Events, and Activities
BGC Dawson provides community-based programs, events, and activities for children, youth, adults, families, and seniors, guided by our Mission and Core Values. Participation is subject to compliance with our Programs Policies, Code of Conduct, and other applicable guidelines.
- Safe(r), Respectful, and Inclusive Environment
We are committed to providing a safe(r), inclusive, and welcoming environment. All participants, visitors, volunteers, and staff must demonstrate respectful behavior and follow BGC Dawson’s safety and conduct policies. Unsafe, violent, disrespectful, or discriminatory behavior may result in removal from programs, activities and events.
- Registration and Consent
Registration through our Amilia platform requires accurate and complete personal information. For minors, parents/guardians must complete and sign appropriate consent forms. Youth aged 16–18 may complete forms independently, though parental involvement is encouraged.
- Program Fees and Flexible Payment Plans
BGC Dawson offers flexible payment plans to support accessibility and affordability.
Certain programs require the payment of fees. Payment policies, including those related to late pickup fees, are outlined in our Programs Policies. Failure to adhere to payment obligations, including agreed-upon payment plans, may affect a participant’s ability to continue in fee-based programs.
- Privacy and Personal Information
BGC Dawson collects and manages personal information in compliance with Québec Law 25- Act respecting the protection of personal information in the private sector. Information about data collection, storage, and your rights is available on our website.
- Use of Technology
Participants accessing online services, registration portals, or digital communications must use these platforms responsibly. Unauthorized access, data breaches, or inappropriate use is prohibited.
- Intellectual Property
Materials provided through our programs, events, or website are the property of BGC Dawson unless otherwise specified. They may not be reproduced, distributed, or used without prior written permission.
- Changes to Programs or Terms
BGC Dawson reserves the right to modify, suspend, or cancel programs, events, or activities as necessary. We aim to provide reasonable notice of such changes whenever possible.
- Limitation of Liability
At BGC Dawson, participants’ safety and security are our top priority. By participating, you agree to release BGC Dawson from any liability, to the fullest extent allowed by law.

- Commitment to Privacy
BGC Dawson is committed to safeguarding the personal information of our members, participants, volunteers, donors, employees, and stakeholders in accordance with Québec Law 25- Act respecting the protection of personal information in the private sector.
- Collection of Personal Information
We collect only the personal information necessary to:
- Register and administer programs, events, and activities
- Ensure participant safety and emergency preparedness
- Communicate with members and families
- Fulfill reporting obligations to funders (in anonymized form)
- Improve our programs and services
Collected information may include name, contact information, date of birth, emergency contacts, medical information, participation history, and consent records.
- Consent
We obtain explicit consent for the collection, use, and disclosure of personal information. Consent is gathered at registration through Amilia or manually where necessary. Participants and/or guardians may withdraw consent at any time, understanding that it may affect access to programs when safety information is essential.
- Use and Disclosure of Information
Personal information is used only for purposes described at the time of collection. We may share limited, non-sensitive information (e.g., age group, participation status) with funding partners. We do not sell or rent personal information. Sensitive data (medical or emergency information) is never shared without additional consent.
- Data Protection and Storage
We use secure systems to store personal data, restrict access to authorized personnel only, and implement appropriate security safeguards, such as encrypted digital platforms (e.g., Amilia) and physical protections for hard copies.
Data retention periods are as follows:
- General member information: retained for 7–10 years after last participation.
- Consent forms: retained for 7–10 years to comply with legal and organizational requirements.
- Medical and emergency contact information: securely deleted within 1 year following the end of program participation.
Where required by applicable laws or regulations, certain information may be retained beyond the standard retention periods to meet legal, financial, or audit obligations.

Under Québec’s Law 25, individuals have the right to:
- Access their personal information
- Request correction of inaccurate data
- Withdraw consent
- Request deletion of data (where legally permissible)
